Utilizing Tags in PartnerHQ

In a PartnerHQ project, Tags help to group and organize your partners, tasks, and resources. Some partners might have one tag, others could have dozens! 

As an example, tags could be based on sponsorship level, like Gold, Silver, or Bronze. If your event has speakers, creating a Speaker tag to group them together, and provide resources and tasks would be valuable.  

Creating a Tag:

  1. Log into ParterHQ and navigate to your project. 
  2. On the left navigation menu, under Host Settings, click Tags. (Note that admin permissions are required.)
  3. Click Add a tag on the top right of the page to create a new tag.

Organizing tasks, resources & partners using tags

Tasks: Task examples could be logo submission, speaker bio, or whatever your event or project requires. Anything you need to get from a partner, you would assign a task. But PartnerHQ cuts down on the work. More often than not, you don’t need a logo submission from just one partner, but from most that are involved. You can assign a task, or set of tasks, to be assigned via an organized ‘tag’. 

In our example, we want to collect speaker bios. Our event separates speakers by day 1, 2 and 3 as each day hosts a different topic. Luckily, speaker bios are necessary for all 3 days and we can assign this task to all 3 tags. 

  1. On the left navigation menu, click ‘Tasks’. You’ll see all your created tasks. (If you don’t have tasks created yet, click ‘Add Task’ on the top right of the page.) 
  2. Within that task creation page, towards the bottom, you’ll see ‘tag(s)’. This is the easiest way to assign tasks to multiple tasks at once. Click the text field or select the dropdown arrow on the right. 

In our case, there are 3 tags we want to assign to this task.

Resources: Similar to tasks, you may have resources to give to your partners. A resource is generally something static and doesn’t require a partner to submit anything. Think venue maps, event overviews, or hotel information. 

To create a resource, click the Resources tab in the left navigation bar. Click Add Resource on the top right of the page. 

Just like assigning a task, click the Tags field on the page to assign your resource to your tag(s). 

Partners:  You can assign tags to partners. There’s many ways you might consider using the tag. For one instance, you might want to create a tag for repeat partners just so you can sort that information. Even though that tag might not have actionable tasks or resources, you can visualize on PartnerHQ that they have sponsored or participated in your event more than once. 

Now, partner tags can certainly contain actionable items. For instance, you might have levels of sponsorship. A gold-tier sponsorship gets you a better spot on the floor, a bigger booth etc. 

In our example, we have 2 tags: gold-tier sponsors and silver-tier sponsors. 

For our example event, gold-tier sponsors get access to a lot more based on their tier. So their resources, and necessary tasks are different from silver-tier sponsors. All my gold-tier sponsors have the gold-tier tag. Which, in turn, has the gold-tier resources and tasks. 

At any time, you can click into a tag and see the Resources, Tasks, and Organizations that are associated with your tag.
