Projects
A Project is the primary container for any initiative you manage in PartnerHQ. Everything related to a specific event, project, or needed collaboration is organized within a Project.
- Function: Think of a Project as the top-level folder for your annual conference, a major tradeshow, an athletic series, or an ongoing, year-round partnership.
- Key Feature: Projects can be duplicated. Once you have configured a Project to your liking, you can copy its structure and settings to quickly set up the same event for the following year.
Partners
A Partner is any individual or organization you collaborate with within a Project.
- Structure: Partners are categorized into Organizations and Individuals to provide a clear overview of all entities involved.
- Examples: Partners can include vendors, speakers, volunteers, exhibitors, athletes, sponsors, or even internal company departments.
Tasks
Tasks are the individual, actionable to-do items that drive a Project forward. They are the core engine for managing work and transactions.
- Core Functionality: You can assign Tasks to specific Partners, set due dates, and track their completion status.
- Transactional Capability: A Task can also function as a financial transaction. You can use Tasks to sell items such as sponsorship packages, booth add-ons (e.g., electricity), and more, effectively turning your project plan into a storefront.
Internal Tasks
Internal Tasks are private to-do items visible only to your internal team. They are used to manage behind-the-scenes work that Partners do not need to see.
- Automation: Internal Tasks can be Triggered to automate workflows. For example, a new Internal Task (e.g., “Order VIP Gift”) can be automatically created and assigned to your team the moment a Partner completes a prerequisite action (e.g., paying for their “VIP Package” Task).
Resources
Resources are the centralized, shared digital library for your Project. It is the designated location for storing and sharing all important documents with your Partners.
- Purpose: This feature eliminates the need to send files via email. Partners can access all necessary documentation in one organized place.
- Examples: Common files stored in Resources include venue maps, marketing kits, event schedules, and insurance forms.
Comments
The Comments feature enables contextual communication between you and your Partners directly within the platform, replacing external email chains.
- Function: Users can leave comments directly on a specific Task or submission. This keeps all conversations organized, attached to the relevant item, and easy to reference later.
Announcements
Announcements are a communication tool used to broadcast messages to specific, targeted groups of Partners within your Project.
- Purpose: Ensure the right information reaches the right people efficiently. For example, you can send an update exclusively to all Partners tagged as “Gold Level Sponsors” or to everyone in the “Volunteer” group.
Tags
Tags are customizable labels or categories that can be applied to nearly any item in PartnerHQ, including Partners, Tasks, and Organizations. They are a powerful tool for organization and segmentation.
Use Cases:
- Categorize: Tag a Partner as a ‘VIP’ or an organization as a ‘First-Time Exhibitor’.
- Prioritize: Tag a Task as ‘Urgent’.
- Filter and Act: Once tagged, you can instantly filter lists and perform group actions, such as sending an Announcement to everyone with a specific tag.
- Workflow Capability: Tags can support workflow assembly. As an example, a tag can be assigned to a Partner with matching tasks and resources once they’ve completed a transactional task for sponsorship. They immediately get access to the matching content and next steps that correspond with the sponsorship they purchase.
Access
Access refers to the methods by which Partners can join your Project. You control how new Partners are added.
- Invitation: Send a direct, private invitation link to a Partner’s email address.
- Self-Registration: Provide a public or private Self-Registration link that allows Partners to sign up for the Project on their own.
